Compensation: For transparency, the salary range for this mid-level role is $3,000,000 COP to $4,500,000 COP per month for supporting our two businesses. The final offer will be based on your specific experience and alignment with the role
Our teams at our Learning Tech startup are growing, and we are looking for a highly organized and proactive Administrative Assistant to become the operational backbone of our global consulting team.
We are a global hub of e-learning experts, developers, and consultants specializing in platforms like Moodle and LearnWorlds and online interactive course creation. While our team is busy building incredible digital learning experiences for clients across North America, Latin America, Europe, and Asia, we need a bilingual rockstar (fluent in English) to help us manage our people, our finances, and our day-to-day business operations.

Here is a closer look at what you will be doing:
People and Talent
1. Lead and assist with recruitment and onboarding processes.
2. Support talent management initiatives and documentation.
3. Maintain accurate employee records.
4. Coordinate people and talent onboarding tools, growth path development, and management.
Accounting and Finance
5. Provide direct communication with clients in North America, Latin America, Europe, and Asia (in both Spanish and English). This includes calls, virtual meetings, and providing timely responses (within 24-48 hours) to emails related to invoices and accounting matters.
6. Manage client invoicing via our bank tools and UpWork agency accounts, and control our internal time-tracking tools.
7. Process payroll and ensure accurate compensation.
8. Track employee hours and maintain timekeeping records.
9. Create reports, track time invested, generate income/expense reports, and continuously implement administrative and accounting tools to improve company processes.
10. Contribute to the development and implementation of accounting best practices.
11. Support the leadership team in discovering government programs to support small business development (grants, credits, and certifications).
12. Generate monthly, quarterly, and annual reports as needed, and lead/support annual tax reporting in alignment with our external accountant.
13. Ensure the strict safeguarding of financial assets, confidential data, and information access.
General Administration
14. Provide general business administration assistance for our e-Learning consulting businesses (planning, control, hiring, documentation, and monitoring of talent activities).
15. Develop and improve internal administrative management practices.
16. Optimize operational workflows to keep our projects running smoothly.
17. Provide general administrative support to the consulting and leadership team.
18. Coordinate leadership and team logistics for virtual or in-person events.
