Seeking an experienced Virtual Assistant Portfolio Manager (APM) to support our growing property management portfolio. This role serves as a key liaison between property managers, tenants, owners, and internal departments to ensure daily operations are handled with accuracy, efficiency, and professionalism.
The APM plays a critical role in supporting core property management functions, including lease renewals, rent collection, maintenance coordination, owner and tenant communication, onboarding of new properties, move-out processing, and documentation management within AppFolio.
Key Responsibilities:
Coordinate lease renewals, including sending renewal offers, tracking responses, scheduling inspections, and ensuring accurate data entry in AppFolio
Support rent collection efforts, monitor delinquencies, send notices, and communicate updates to owners
Assist tenants with maintenance requests and coordinate with property managers and maintenance teams to ensure timely resolution
Communicate professionally with tenants and owners via phone, email, text, and portal
Support onboarding of new properties and assist with move-out processes
Maintain accurate, audit-ready documentation and detailed notes in AppFolio
Participate in weekly regional meetings and provide updates on leasing, delinquency, and service needs
Qualifications:
Prior property management experience required
Experience with AppFolio strongly preferred
Strong written and verbal communication skills
High attention to detail and organizational ability
Ability to manage multiple priorities in a fast-paced environment
