About The Role
We’re looking for a Bilingual (Spanish-English) Dental Admin Virtual Assistant who can confidently support a busy dental practice by managing front-desk operations, patient communication, and administrative workflows.
You’ll play a critical role in delivering a seamless patient experience—handling everything from scheduling to insurance coordination—while working remotely with a high-performing team.
What You Will Do:
• Handle inbound and outbound calls with patients in English and Spanish
• Schedule, confirm, and manage appointments efficiently using dental software
• Verify insurance eligibility, benefits, and coverage prior to patient visits
• Assist with billing coordination, claims follow-up, and payment posting
• Manage patient intake, update demographics, and maintain accurate records
• Respond to emails, texts, and inquiries in a professional and timely manner
• Conduct appointment reminders and treatment follow-ups to improve case acceptance
• Support daily administrative tasks such as data entry, reporting, and documentation
• Coordinate with the dental team to ensure smooth day-to-day operations
What We Are Looking For:
• Fluent in Spanish and English (spoken and written) — required
• At least 1–2 years of experience in US dental or US healthcare administration
• Strong understanding of dental workflows, insurance verification, and scheduling
• Experience with dental software such as Dentrix, Eaglesoft, or Open Dental
• Excellent communication skills with a patient-first mindset
• Highly organized, detail-oriented, and able to multitask in a fast-paced environment
• Comfortable working remotely with minimal supervision
• Strong sense of professionalism, accountability, and confidentiality (HIPAA compliant)

To be eligible for onboarding, your device MUST meet the following,
Operating System:
• Windows 11 (64-bit) - genuine and activated
• Windows 10 (64-bit) - supported only until February 2025
• Mac and Huawei devices are NOT allowed
Hardware:
• Reliable processor: Intel Core i5, i7, i9 or AMD Ryzen 3,5,7 or higher
• At least 8GB to 12GB RAM
• Functional webcam and noise-canceling headset
• Antivirus software installed and active
• Backup power source recommended
• Storage and Browser: At least 128GB (preferrable SSD)
Internet:
• Stable, high-speed connection
• Wired connection preferred
• Download: At least 25 Mbps (Cable/DSL/Fiber)
• Upload: At least 16 Mbps

• Is MEDVA HIPAA-compliant?
Yes. We follow strict HIPAA standards and train all VAs to handle patient information securely.

Yes. We have clients who require bilingual virtual assistants.

• What is MEDVA’s payment platform?
All MEDVA Admins and VAs are using myMEDVA Pay platform.
• Will I be required to use a time tracker?
Yes, MEDVA uses Time Doctor 2 for productivity monitoring.
• Do we get paid PTO and holidays?
Paid time off (PTO), holidays, bonuses, and paid breaks may be offered depending on your client. Many of our clients provide these as part of their work arrangements, while others may follow different setups based on business needs.
• Does MEDVA provide PC/Laptop devices or the internet?
No. Applicants must use their own device and internet connection.
• What is the WiFi and Device Check?
We verify that your internet connection and equipment meet the requirements for remote work. This includes checking connection speed, camera, and audio. ",
