The role involves managing the client intake process, from first contact to completion of onboarding. The professional will be responsible for handling calls, follow-up communications and coordinating with different external and internal entities to ensure a complete and efficient admission process.
Responsibilities:
Handle all initial intake calls and follow-up communications with potential clients.
Evaluate incoming leads based on defined criteria and collect complete case details.
Prepare intake paperwork, agreements, and initial payment records.
Coordinate with courts, prosecutors' offices, probation departments, attorneys, and in-house staff to verify case information and support timely onboarding.
Requirements:
Experience managing telephone client intake and follow-up communications.
Ability to evaluate whether potential clients meet the defined criteria for case acceptance.
Experience gathering case background information from multiple sources.
Demonstrated persistence in monitoring and following up on pending leads.
Experience preparing contracts or retainer style agreements.
Ability to process initial client payments and manage electronic signature of documents.
Experience opening, organizing and maintaining new case files.
Ability to review and confirm that all case information is complete and accurate.
Experience contacting courts, prosecutors' offices, and probation departments to obtain information related to the case.
Ability to support the entire case intake process from first contact to file completion.
Verbal communication skills and ability to build good relationships with clients and team members.
Experience in processing payments through online payment platforms.
Problem solving skills and attention to detail.
Ability to complete work on time and consistently follow through on tasks to completion.
Ability to maintain accurate and up-to-date databases and records.
Previous sales or customer service experience in a phone-focused role.
