Key Responsibilities
Commercial Lease & Tenant Management
• Manage commercial lease administration, renewals, amendments, and terminations.
• Review meter reading activities for utility consumption and ensure accurate billing to tenants.
• Monitor rent collection and coordinate with accounting on arrears follow-up.
• Support tenant onboarding and documentation control.
• Track occupancy levels and propose actions to reduce vacancy risk.
Financing & Loan Coordination
• Support research and evaluation of financing options for acquisitions and development projects.
• Assist in preparation and review of loan documentation and required financial information.
• Coordinate with banks and financial institutions during application and approval processes.
• Track loan negotiations, approvals, disbursements, and repayment schedules.
• Monitor compliance with loan terms and internal financial controls.
• Ensure structured documentation of all financing-related records.
Project & Technical Coordination
• Follow up on commercial renovation, fit-out, and development projects.
• Coordinate with engineers, architects, consultants, and contractors.
• Monitor scope execution, timelines, and cost deviations.
• Support preparation and tracking of planning applications and technical submissions.
• Maintain structured documentation of project progress and deliverables.
Field Coordination & Operational Control
• Support daily operational control of commercial assets.
• Identify inefficiencies and propose structured improvements.
• Implement tracking systems for leases, maintenance, budgets, and financing.
• Evaluate and implement digital tools to improve reporting and control.
• Train team members on workflows and documentation standards.
Financial Monitoring & Reporting
• Monitor property income, operational expenses, and project-related costs.
• Support budgeting and financial performance tracking.
•Coordinate with accounting to ensure accurate financial documentation.
• Assist in preparation of financial reports linked to commercial performance and financing obligations.
Insurance & Risk Management
• Oversee insurance coverage strategy for commercial assets (building, liability, contents, and project-related risks).
• Monitor active policies, renewal cycles, and coverage adjustments aligned with occupancy and asset changes.
• Coordinate with insurers, brokers, and management companies to ensure compliance with policy conditions and risk requirements.
• Identify maintenance or corrective actions required to maintain coverage validity.
• Support preparation, submission, and follow-up of insurance claims, ensuring proper documentation and resolution tracking.
• Maintain structured digital records of all policies, claims, and risk-related documentation.
Procurement & Technical Quotations
• Request and evaluate quotations from contractors and consultants.
• Compare pricing, scope, and technical specifications.
• Support cost negotiations and supplier selection.
• Maintain structured records of quotations and purchase documentation.
Compliance & Documentation
• Maintain updated lease, financing, and technical documentation.
• Ensure operations align with applicable regulations and contractual obligations.
• Support preparation of documentation required for audits and external reviews.
Skills & Qualifications
Bachelor’s degree in Industrial Engineering, Civil Engineering, Architecture, Construction Management, Finance, or related field (preferred).
3+ years of experience in commercial real estate, property operations, project coordination, or facilities management.
Experience interacting with financial institutions, loan processes, or project financing structures is highly valued.
Strong ability to coordinate both technical professionals and field teams.
Technologically proficient and comfortable implementing new operational tools.
Strong organizational discipline and structured thinking.
Ability to manage multiple parallel responsibilities in a demanding environment.
Fluent in English.
Based in Italy and able to work within European business hours (GMT:00).
