This position serves as the central point of coordination between Sales, Purchasing, Dispatch, Field Operations, Administrative Support, Customers, Vendors, and Executive Management. The successful candidate will ensure projects remain on schedule, within budget, properly documented, and consistently communicated while continuously improving company workflows, reporting, and project management processes, all while adhering to PMP Standards and Procedures. \nPrimary Responsibilities:\nProject Planning & Execution:\nReview project handoffs from Sales before project kickoff.\nDevelop project work plans, schedules, milestones, and resource requirements.\nEnsure project prerequisites are completed before field work begins.\n Coordinate with Dispatch to build labor schedules and technician assignments.\nMonitor all active projects daily.\nIdentify schedule conflicts and recommend corrective actions.\nProactively resolve project risks before they impact delivery.\nProject Administration\n Monitor project tickets and work orders daily.\n Verify technician notes, documentation, and completed tasks.\n Ensure work orders are properly closed.\n Coordinate ticket rescheduling with Dispatch.\n Maintain accurate project documentation.\n Verify project deliverables have been completed according to scope.\nCustomer & Vendor Communication\nServe as the primary administrative point of contact for project communications.\nResponsibilities include:\n Customer scheduling\n Vendor coordination\n Material delivery coordination\n Weekly customer status updates\n Internal project meetings\n External project meetings\n Meeting agendas\n Meeting minutes\n Action item tracking\nFinancial Management: Monitor project financial performance throughout the project lifecycle.\nTrack:\n Budgeted labor\n Actual labor\n Labor forecasts\n Material costs\n Expenses\n Equipment rentals\n Subcontractor costs\n Gross margin\n Project profitability\nProvide weekly financial status reports to management.\nMaterial Management: Coordinate with Purchasing and Warehouse personnel to ensure:\n Materials are ordered on time.\n Long-lead items are tracked.\n Material shortages are identified early.\n Deliveries are coordinated with project schedules.\n Field teams have required equipment before mobilization.\nChange Management: Administer the complete change order process.\n Documenting requested scope changes\n Coordinating field information\n Preparing change documentation\n Tracking customer approvals\n Updating budgets\n Updating schedules\n Communicating approved changes to field personnel\nIssue & Risk Management: Maintain active logs for\n Open issues\n Risks\n RFIs\n Delays\n Customer concerns\n Vendor issues\n Technical roadblocks\nEnsure issues are assigned, tracked, and resolved.\nQuality Assurance: Verify project completion by ensuring:\n Technician notes are complete.\n Photos have been uploaded.\n Testing has been documented.\n Labeling is complete.\n As-built documentation has been updated.\n Punch lists are resolved.\n Customer acceptance has been obtained.\nProject Closeout\nManage formal project closeout activities.\nVerify:\n All tickets are closed.\n Budget versus actual hours are reconciled.\n Material reconciliation is complete.\n Change orders are finalized.\n Documentation is complete.\n Warranty information is recorded.\n Lessons learned are documented.\nReporting & Analytics:cDevelop and maintain operational dashboards and reports.\nTrack key performance indicators including:\n Project health\n Schedule performance\n Budget performance\n Labor utilization\n Technician productivity\n Project profitability\n Open issues\n Customer response times\n Change order status\n Project completion metrics\nPresent regular reports to executive management.\nProcess Improvement: After learning our business, evaluate current workflows and recommend improvements.\nResponsibilities include:\n Document operational inefficiencies.\n Develop optimization plans.\n Improve project workflows.\n Standardize project management procedures.\n Recommend automation opportunities.\n Implement approved workflow improvements.\n Develop standard operating procedures (SOPs).\n Improve reporting and KPI visibility.\nRequired Qualifications:\nPMP (Project Management Professional) certification required or strongly preferred.\n5+ years of project management experience.\n3+ years of experience in Project Management\n3+ years of experience in Experience
