Job Description
ElevateOS is a PropTech company powering resident experiences across multifamily communities in the United States and Canada. As an Event Planner in our Customer + Vendor Operations team, you will play a pivotal role in coordinating resident events for our customers and building a strong, reliable vendor network. This role is high-urgency with high ownership, ideal for someone who thrives in a fast-paced environment, communicates clearly, and maintains meticulous attention to detail. You will collaborate with property managers, vendors, and internal stakeholders to execute memorable events while upholding ElevateOS quality standards.

Role Overview and Key Responsibilities
Own end-to-end event planning logistics for assigned properties, from concept to execution.
Coordinate vendors, pricing, schedules, and event requirements, ensuring alignment with customer expectations.
Maintain proactive communication with customers via email and phone to confirm details, set expectations, and ensure readiness.
Develop and manage run-of-show materials, checklists, confirmations, and final execution details.
Ensure every event meets the customer’s standards and ElevateOS quality benchmarks.
Identify risks early and implement timely solutions to prevent impact on events.
Source, onboard, and manage a vendor network (hosts, entertainers, instructors, F&B, etc.).
Negotiate pricing and packages with vendors and maintain up-to-date vendor records (pricing sheets, menus, requirements, documentation).
Build strong vendor relationships to ensure consistent performance and reliability.
Required Skills and Experience
We are seeking a detail-oriented, process-driven professional with excellent English communication skills and 2+ years of experience in event planning, operations, or client-facing coordination. You should be highly organized, able to juggle multiple concurrent events and stakeholders, and comfortable in a fast-paced environment. The ideal candidate is a proactive, professional, solutions-oriented communicator who can manage expectations and deliver exceptional experiences for residents and customers. Prior experience coordinating vendors, timelines, and customer expectations is essential. Strong written and verbal communication skills, a customer-centric mindset, and the ability to work autonomously with strong ownership are required. Fluency in English is a must, with a talent for clear, professional interactions via email, phone, and messaging.
Nice to Have
Experience designing marketing collateral or event materials ( Canva, Adobe, Figma, etc.). Vendor negotiation experience. Familiarity with multifamily, hospitality, or marketplace-based service businesses. Comfort with travel or on-site event support as needed. Demonstrated ability to collaborate across teams and influence without direct authority.
